SplayZoneAx
Privacy Policy
Last updated: 14 October 2026 · Version 1.3
This policy explains how the operator of SplayZoneAx (“we”, “us”) handles personal data when you use the SplayZoneAx app and this website. It matches how the product works today.
1. Who is responsible
The controller of personal data in the app and on this website is the operator of SplayZoneAx. Privacy requests go to Contact / Support or support@splayzoneax.com. Automated account emails are sent from no_reply@splayzoneax.com. That mailbox is not monitored.
SplayZoneAx is an independent live-sound and room acoustics planning app. We do not sell, advertise, or endorse speaker brands. The Intellectual Property Notice explains that position for companies and rights holders.
2. Data you give us
When you create an account we collect:
- Email address and password. The password is stored hashed by our authentication provider. We do not keep it in readable form.
- Full name, used as the display name on your profile.
- Phone number and phone country code.
- Country chosen at sign-up.
- Terms acceptance: the time and the terms version when you agree.
When you use the app we also store, as applicable:
- Venue projects you create: room geometry, stages, audience zones, speaker placements, and coverage settings. They can stay on the device and, when you are signed in, sync to your cloud account.
- Custom speaker entries you type: names, technical numbers, and notes. These are your content. We store them as you entered them so you can reuse them. We do not publish them as a product catalogue.
- Files you choose to send, including a PDF or pasted text for the AI spec assistant, and any image you attach inside a project.
- Collaboration data on plans that include it: invite and share-link records, who can open a project, live-edit activity, and project chat messages. People you invite can see the project content you share with them.
- Plan and purchase status: plan name, feature flags, and the store transaction information needed to confirm a subscription. We do not store your full payment card number. Apple or Google processes the payment.
- The active device session, so only one device stays signed in. Signing in elsewhere signs out the previous device.
- Support messages you send to support@splayzoneax.com.
3. Data collected automatically
- Crash diagnostics. The app uses Firebase Crashlytics. If the app closes unexpectedly, Google Firebase may receive a crash report: device type, operating system, app version, and a technical stack trace. This is so we can fix faults. Do not put passwords into free-text fields that might appear in a report.
- Security and delivery logs from our host and, when this website is served through Cloudflare, from Cloudflare (such as IP address and request time) to deliver pages and resist abuse.
- Font request. These pages load the Inter font from Google Fonts. Your browser contacts Google for that file. Google’s own policy describes that request.
4. Data that stays on the device
- Microphone audio for the Loudness Meter is processed on the device to show a level. We do not upload live microphone recordings as part of that feature. The operating system will ask for microphone permission.
- Coverage PDFs and files you export stay on the device unless you choose to share them.
5. AI spec assistant
If you use the assistant, the text you paste, and a PDF you upload, are sent to our server and then to OpenAI so it can suggest specification fields. You should send only material you have a right to share with us and with that processor.
For a PDF, we may keep a private technical cache: a hash of the file, the file name, page count, speaker type, and the extracted fields and short summary. The cache lets us avoid sending the same document for extraction again. It is not a public brand directory, and it is not an official datasheet. A rights holder can ask us to delete a cached extraction through Contact. See the Intellectual Property Notice.
6. Why we use data, and the legal bases
- Contract — to create your account, confirm email, reset a password, sync projects, apply the plan you bought, run collaboration you turn on, and provide the AI assistant when you ask for it.
- Legitimate interests — to keep the service secure (one-device sessions, abuse prevention), fix crashes, keep a short extraction cache, and answer support mail. You may object where the law gives you that right.
- Legal obligation — to keep records we are required to keep, for example a billing dispute.
- Consent — where a platform asks you to allow the microphone, or where a non-essential cookie would need consent. We do not currently run advertising cookies. See the Cookie Policy.
We do not sell personal data. We do not use your speaker library to market products or to rank manufacturers.
7. Who processes data for us
- Supabase — authentication, database, file handling for the features above, and our server functions.
- Apple App Store and Google Play — subscription purchase, renewal, cancellation, and refunds. Their privacy policies cover the payment.
- Google Firebase (Crashlytics) — crash diagnostics.
- OpenAI — only when you use the AI spec assistant or another AI feature that sends a prompt.
- Cloudflare — DNS, HTTPS, and delivery of this website when the site is published behind Cloudflare.
- Email delivery — the SMTP provider that sends mail from no_reply@splayzoneax.com.
- Google Fonts — the font file for these pages.
These providers may process data in the United States or other countries. Where the law requires a transfer tool (such as standard contractual clauses), we rely on the provider’s terms for that transfer.
People you invite to a project receive the project content you share. That disclosure is part of the collaboration feature you choose to use.
8. How long we keep data
Account, project, library, chat, and entitlement data are kept while the account is active. Crash reports follow Firebase’s retention. Store receipts are kept as long as needed for entitlement, fraud checks, and tax or accounting duties.
If you ask us to delete the account, we delete or anonymise personal data we control, except where we must keep a record (a billing dispute, a rights complaint, or a legal duty). The extraction cache is kept so repeat imports can be served without a new AI call, until we delete it on request or because it is no longer needed.
Deleting the app from your phone does not delete the cloud account. Email support@splayzoneax.com from the registered address to request deletion.
9. Your rights
Depending on where you live, including the EU, EEA, and UK, you may have the right to access, correct, delete, or export personal data, to restrict or object to certain processing, and to withdraw consent where processing is based on consent. You may also lodge a complaint with a data protection authority. We will need enough information to confirm the account, usually the email you registered.
Use Contact / Support. We aim to reply within 30 days, or sooner if the law requires it.
10. Children
SplayZoneAx is a professional planning tool. It is not directed at children under 16. We do not knowingly collect personal data from children under 16. If you believe a child has created an account, contact us and we will delete it.
11. Encryption and access
The app and this website talk to our servers over HTTPS (TLS). That encrypts the connection while data is moving, including sign-in, project sync, and project chat. Passwords are stored as a hash, not as readable text. Purchases are handled by Apple or Google. We do not store your full card number.
Project chat, saved projects, and speaker libraries are then stored on the server so your account, and people you invite to that project, can open them. Project chat is not end-to-end encrypted. The message text is stored so delivery, unread counts, and replies can work. Access in the app is limited to signed-in members of that project. The operator of SplayZoneAx and the hosting provider can access stored content when that is required to run the service, investigate abuse, answer a lawful request, or act on a rights notice. Do not put secrets into chat that you would not want stored on the server.
No method of transmission or storage is perfectly secure. Protect your password and do not share your account.
12. This website
The marketing site is static. We do not run advertising pixels on these pages. Details are in the Cookie Policy. The contact form opens your own email app. The message is not stored on the website.
13. Changes
We may update this policy. The date at the top will change. Material changes may also be noted in the app. The terms version recorded at sign-up is currently 1.3.
14. Contact
Privacy questions: splayzoneax.com/contact or support@splayzoneax.com. Do not reply to no_reply@splayzoneax.com.
